Assistant Registrar – Smith College Museum of Art

Job Description


Assist the Collection Manager/Registrar with the overall safety, preservation, maintenance, and documentation for all works in SCMA’s collection, on view, in storage, and on loan. Particular responsibility for logistics and record-keeping related to the storage renovation project.  Assist with acquisitions in-take and processing, coordinate exhibition-related movement of objects, including packing, shipping, and insurance for collection exhibitions as well as for incoming and outgoing loans to/from SCMA.


Storage renovation project 50% Under the direction of the supervisor, plan, coordinate and record-keep for storage renovation including liaison with Cunningham Center personnel, curators and preparators; inventory work related to the storage renovation, track object locations, assess storage needs of individual objects and proper handling.

Acquisitions 30% Assist with acquisitions shipping arrangements, intakes, record creation and curatorial review. Create new records both digital and paper; oversee maintenance of paper files and archives.

General Registration 20% Assist with documentation for deeds of gift, bequests, and donations. Assist with logistics related to loans, including documentation, condition reports, packing, shipping, and receiving. Assist with documentation of  conservation treatments. Occasionally supervise access to artwork for study, exhibition, and research. Occasionally supervise art preparation staff and student employees and/or interns performing related work.


Education/Experience: Bachelor’s degree in art, art history, or museum studies plus 2-3 years’ full-time, paid experience as a registrar or collections manager in an art museum or an equivalent combination of education/experience. Master’s degree or post-baccalaureate certificate in arts administration, museum collection management, or library science preferred.

Skills: Knowledge of current museum practice in registration, art-handling and storage. Thorough knowledge of museum policies, practices, and procedures. Experience with museum collection management database systems, and office software for documents and spreadsheets. General knowledge of art terminology and ability to identify types of art works and materials. Excellent project management skills. Ability to develop, plan, and implement short- and long-range goals. Excellent communication skills. Ability to supervise employees to insure project goals are met. Ability to foster a cooperative work environment.

Working Conditions and Physical Effort: Moderate physical activity. Requires handling of average-weight objects up to 40 pounds and/or standing and/or walking an average of four (4) – six (6) hours per day. Ability to climb ladders and work at heights of 6’. Normal range of color vision. Manual dexterity.
